**Job requirements**
A secretarial role supporting partners and associates in Bangkok Office, providing support with all administrative tasks including management of client files, management of billing and financial activities, client relationship and business development coordination, diary and travel management and document production.
The Legal Secretary provides dedicated support to a range of fee earners with all administrative tasks including but not limited to: management of client files, billing and financial activities, client relationship and business development coordination, diary and travel management and document production.
**Key responsibilities**
- Providing secretarial and administrative support as required
- Maintaining fee-earners' inboxes, calendars and client contacts
- Conflict searches, file opening, file closing and archiving
- Photocopying/printing: photocopying, scanning, and maintaining paper files; printing documents; preparing bundles/files
- Client filing: maintaining electronic client files; indexing; trial bundles; archiving including arranging collections and retrievals from the off-site archive company
- Communication: always maintaining open and appropriate communication lines with internal and external clients to ensure the firm's needs are met; work cohesively with secretaries and admin assistants from other regions
- Prioritisation: managing and prioritising own workload to ensure work is turned around within agreed deadlines and timeframes
- Excel Spreadsheet management; input; logging; merging and reporting the data as required
- Billing: general billing administration process as directed. This may include but is not limited to, preparing, and reviewing draft bills, and associated correspondences
- Financial Administration: dealing with disbursement bills and processing third party invoices; preparing and processing expenses claim forms and dealing with cheque requisitions.
- Traveling arrangement, reservations for restaurants, transport arrangements, scheduling meetings
- Receptionist duties
- Any other ad-hoc related duties as required
- At least 1-3 years of legal secretary experience in the legal industry
- MS Office skills (Outlook, Word, Excel and PowerPoint)
- Good verbal and written communication skills
- Accurate typing (minimum speed 60 wpm)
- Excellent spelling and grammar
- Excellent organisational skills
- Excellent communication skills
- Knowledge of legal terminology is advantageous
- Ability to prioritise own workload to meet agreed deadlines
- Ability to be calm and retain a professional attitude under pressure

- Provide legal counsel and guidance to the Goodyear business in ASEAN with focus on the operations of Goodyear Thailand.

- Act as a legal representative of company to participate in Thai Automobile Tyre Manufacturer Association (TATMA)
- Managing disputes, pre-litigation and litigation matters and develop effective strategies to resolve legal issues and protect the company’s rights.
- Liaising with and supervising external counsel for outsourced legal matters, ensuring efficient and cost-effective legal representation when required.
- To assure the company’s operations comply with policies, guidelines, compliance manuals of The Goodyear Tire & Rubber Company, e.g. business code of conduct, antitrust compliance, Office of the Foreign Assets Control, Foreign Corrupt Practices, etc.

- Management of all activities as they relate to being the Company Secretary for Goodyear Thailand including management of all Board activities.
- To prepare, disseminate and keep the register of all matters relating to Board of Directors of the company, including the notice-calling and minutes of the Board meeting and annual report of the company and the notice-calling and minutes of the Shareholders’ meeting.
- To keep a report on conflicts of interest filed by directors and executives. To perform any function as specified by the securities law.
- Maintain and ensure timely completion of corporate actions and other processes essential to ensuring statutory compliance of the Company including but not limited to the filing of Annual Reports, Sustainability Report and statutory reporting.
- To ensure the best interest of the company and the shareholders are met IN ORDER TO protect the shareholders’ interest.
- To advice and counsel directors on their duties as directors regarding corporate governance IN ORDER TO be in line with rules and regulations and to avoid issues thereof.
- To ensure that the board is complying with governance requirements and that board is best able to make wise decisions IN ORDER TO support Directors in making their decisions.
