This position is responsible for office rental/rental renewal by liaising with Building Management, Legal Department and company's BOD members for agreement signatures. Supervisor takes care of office equipment/machine maintenance contracts and updating them on regular basis according to each schedule. Provide all communication of office service to employee via coordinate to Corporate Communication Dept, prepare requested document and all correspondences and filling, manage for IR services on mobile phone. Receive invoices, check correctness and accuracy against meters/evidences and prepare payments for various categories of office expenses, e.g. office rental, electricity, water, car lease and rent, copying machines, security guards, housekeepers, pest control, hygienic products, etc. Afterwards he/she must allocate costs to each cost center.

- Telephone System
 - Co-ordinate to IT for releasing telephone signal
 - Adjust and solve problem of telephone equipment and wire connected
 - Telephone conference usage
 - CISCO VC System and Meeting rooms
 - Solve problem of VC CISCO
 - Coordinate with vendors for repair and maintenance
 - SMS Gateway/Application/Web based: TRUE Move / Digital Marketing Center
 - Coordinate to vendor for price and agreement
 - Create user such as U&I, Claims, POS, Medical, MKT etc.
 - Receive SMS requested form: 1 way / 2 ways SMS
 - Send out as request and inform status to user
 - Create SMS status report and send to user via email
 - Monitor and solve the problem

 - Billing Telephone & Fax System
 - Create group department of each cost center to be easy for making the report and allocate expense

 - Receive the request from department in managing air card and mobile phone, based on the policy
 - Coordinate with the external parties (e.g. TRUE, Dtac, AIS) to provide air card and mobile phone with package

 - Service Maintenance/ repair of Office facilities equipment
 - Receive the request for maintenance of Xerox machine, thermal binding machine, signet company machine, facsimile, LCD projector, AV System, Locker
 - Perform primary investigation and fix machines
 - Coordinate with vendors
 - Prepare document and request for budgeting
 - Access Control & CCTV System
 Access Control
Receive the request from departments or HR to add/ update/ cancel the authorization to access the company
- Maintain the authorization to access the company in the system
 - Provide the reports regarding to access information, based on the request
 Coordinate with vendors for fixation of access control system and plan for PM activity
CCTV
Prepare and perform purchasing process for CCTV setup
- Coordinate with vendor to setup and repair CCTV and plan for PM activity
 - Monitor the problem/ issues of CCTV
 Check and open the historical record for department based on the request
General Services
- Daily floor survey on cleanliness, tidiness and readiness of their floor such as meeting room services, toilet, photocopier etc.
 - Then submit weekly survey report to Manager every Monday
 - Facility Management services request form
 - Coaching others to complete job properly for a high quality of services under manager supervisor
 - After job completion, remind user to close jobs after job completion (NPS score will be given by users or else jobs cannot be closed)
 - AV system
 - Setup/test mini stadium system for major event activity as request and standby
 - Coordinate with vendors for plan PM activity
 - Locker management
 - Update user list
 - Add/remove/set PIN password for user
 - Change battery and repair
 
Must Have
- Bachelor 's degree in any fields
 - At least 2 years in general affairs or administrative including maintenance function, service operations related function incl. administrative tasks, facility management or any related areas
 - Knowledge of supervisory principles, facilities maintenance, and relevant local laws, rules and regulations
 
Nice to Have
- High customer and service orientation as well as a smart approach towards various stakeholders
 - Communication skills with good English
 - Customer orientation, Time management and problem solving
 - Computer skills i.e. MS Office, Outlook, Excel and Word is required
 - Any AI-future skills e.g., ChatGPT, or CoPilot365, will be advantage.

Job Purpose:
To manage the operations and maintenance of all facilities and landscape areas within the Country Club premises, ensuring that all infrastructures, green spaces, and recreational zones are safe, functional, aesthetically maintained, and aligned with the organization's standards. This role also supports internal events and corporate image through effective space and service readiness.
Key Responsibilities:
1.
Facilities Operations & Maintenance 
- Oversee preventive and corrective maintenance of buildings, infrastructure, utilities (electrical, plumbing), and recreational areas to ensure optimal functionality and safety.
 - Coordinate with in-house technicians and external contractors for timely and efficient maintenance work.
 - Monitor and maintain safety systems such as CCTV, fire exits, emergency lighting, etc.
 
2.
Landscape Management & Cleanliness 
- Supervise landscaping activities including gardening, lawn care, pruning, and decorative elements.
 - Ensure cleanliness and environmental standards of all outdoor areas, sports fields, and garden zones.
 - Plan seasonal and thematic enhancements for landscape aesthetics aligned with brand image.
 
3.
People & Vendor Management 
- Lead and manage internal teams including facility officers, housekeeping, gardeners, and groundskeepers.
 - Monitor and evaluate outsourced service providers such as security, pest control, and cleaning contractors.
 - Handle workforce planning, shift scheduling, and training for operational staff.
 
4.
Budgeting & Cost Control 
- Develop and manage budgets related to facilities maintenance, landscaping, supplies, and contractor services.
 - Track expenditures and implement cost-effective practices without compromising quality.
 - Prepare regular reports and financial summaries for senior management.
 
5.
Event & Space Readiness Support 
- Ensure all spaces are properly maintained and prepared for internal and external events (e.g., wellness events, CSR activities, sports days).
 - Coordinate with other departments for site setup, maintenance, and restoration after events.
 
Qualifications:
- Bachelor's degree or higher in Engineering, Facility Management, Environmental Science, Landscape Architecture, or related fields.
 - Minimum of 8–10 years of experience in facilities and landscape operations, preferably in large-scale properties or mixed-use environments.
 - Strong leadership skills with experience in team supervision and contractor management.
 - Solid understanding of infrastructure systems and basic engineering principles.
 - Proficient in budgeting, cost tracking, and report preparation.
 - Familiarity with FM systems or digital maintenance tools is a plus.
 - Strong attention to detail, service orientation, and organizational skills.
