The UNV Volunteer – Junior Administrative Assistant (Protocol and Travel) will be tasked to assist in data tracking, monitoring, and reporting on staff's information relevant to travel documents required by local authorities to perform the role in Thailand. The role also involves coordination with internal and external stakeholders to support work efficiency of the unit as well as Common Services Unit of UNICEF Offices in Bangkok.
Task description
Under the direct supervision of Administrative Associate – Travel and Protocol, the National UN Youth Volunteer will :
Coordinate Travel Arrangements :
· Liaise with UNICEF-approved travel agents to obtain fare quotations, secure flight reservations, and evaluate airfare options in accordance with UNICEF Travel Procedures.
· Ensure timely and cost-effective travel planning for staff, consultants, and eligible dependents.
Provide Visa and Immigration Support
· Facilitate visa arrangements for all categories of official travel, including duty travel, reassignment, and onboarding.
· Provide procedural guidance and document support for Thai Visa Authorization, Thai Resident Permits, and Re-entry Visas for UNICEF staff, UN Volunteers, consultants, and their eligible dependents.
· Ensure full compliance with host country regulations and Ministry of Foreign Affairs protocols.
Assist with Protocol Administration
· Support the preparation and submission of official documentation required for diplomatic privileges, visa endorsements, and residency-related matters.
· Maintain liaison with relevant government agencies and internal units to ensure smooth processing and timely renewals.
Manage Records and Documentation
· Digitize and organize documents, maintaining structured records in shared folders for team access and audit readiness.
· Keep travel logs and statistics updated to support operational reporting and visibility across units.
Review and Verify Travel Invoices
· Review invoices for air tickets and travel reimbursements to ensure accuracy, compliance, and proper documentation prior to submission for payment.

Coordinate UNLP Requests
· Assist with the submission and tracking of United Nations Laissez-Passer (UNLP) requests, including issuance, renewal, and cancellation processes.

· Provide support for workshops, conferences, and official activities, ensuring that travel and protocol components are fully integrated into event planning and execution.

Duties and Responsibilities
Under the overall guidance and supervision of the Economic Affairs Officer of Innovation, Enterprise and Investment Section of the Trade, Investment and Innovation Division. The contractor will focus on providing logistical and administrative support to the Investment Promotion Department (IPD) for the effective day-to-day implementation of the LIFT 4 Laos initiative. The contractor will support coordination between IPD, ESCAP, DFAT, and other national stakeholders and ensure that operational aspects of project delivery are efficiently managed.
- Coordinate and track daily implementation of the LIFT 4 Laos workplan, including maintaining the activity schedule, budget tracking sheets, and administrative documentation.
- Serve as a liaison for logistical coordination between IPD, provincial authorities, line ministries, ESCAP, and DFAT.
- Assist in organizing and documenting internal and external meetings, workshops, and missions, including preparing meeting agendas, minutes, and logistical arrangements.
- Support the planning and delivery of in-country events and international study tours, including venue arrangements, travel and accommodation logistics, preparation of meeting kits, and coordination with participants.
- Maintain an organized archive of project documentation and ensure all records are up to date and accessible for reporting and audit purposes.

This TOR is for a contractor to be embedded in the Investment Promotion Department to provide logistical and administrative support for the implementation of LIFT 4 Laos. The contractor will serve as the on-site focal point to facilitate day-to-day coordination with ESCAP and DFAT, assist in organizing meetings and missions, and support the timely delivery of project outputs. The IC will be hired for an initial period of 6 months, with the possibility of extension subject to satisfactory performance and evolving project needs. The selected candidate is expected to be based in Vientiane for the duration of the contract, hold a Laotian passport, and demonstrate strong proficiency in both Lao and English, including excellent oral and written communication skills.

We are a property developer specializing in high-quality residential, commercial, and mixed-use projects. We are seeking a skilled Executive Assistant / Senior Executive Assistant with strong communication and language skills to join our team. The successful candidate will handle correspondence, support our administration and conduct research as needed. We offer an attractive, English-speaking working environment with good colleagues and work variety. You will be working five days a week, within a five-minute walking distance to the MRT Lumpini station.
Responsibilities:
- Make written and oral translations from Thai to English – also during meetings, as needed
- Conduct research on industry-related topics and prepare presentations /reports, as needed
- Communicate and follow up correspondence with the company's partners and suppliers
- Participate in project-related discussions and correspondence for tracking of timelines and progress
- Verify billings and documents related to office and company expenses
- Handle confidential information, ensuring it remains private and secure
- Support the administration function and HR / Accounting management
Requirements:
- Bachelor's Degree
- Outstanding communication skills in both English and Thai
- Familiar with using MS Office
- Familiar with basic research methods and reporting
