This position plays a crucial role in providing essential administrative support to our legal department, ensuring efficient operations and the smooth functioning of daily activities. RESPONSIBILITIES:

  • Draft and prepare legal documents, correspondence, and reports under the guidance of the legal professionals.
  • Maintain and update legal files and databases, ensuring accuracy and confidentiality of information.

Job Purpose

To serve as the Company Secretary for Valvoline Lubricants & Solutions India Private Limited, ensuring full statutory and secretarial compliance. The role is also responsible for providing day-to day legal operational support to the India entity, and as required, providing legal and secretarial assistance to other entities within the APAC region.  This is a hybrid role based in Gurgaon, India.

How You Make an Impact

  • Company Secretarial Management (India): serve as the Company Secretary, managing all board and committee meetings, preparing minutes, filing statutory returns with Registrar of Companies (ROC), and ensuring full compliance with the Companies Act, 2013, and other relevant regulations.
  • Legal and Operational Support (India): provide robust legal support for the India entity, including reviewing and drafting a variety of agreements (e.g., vendor, service, confidentiality), and managing legal documentation.
  • Compliance and Governance: proactively manage the corporate compliance calendar for the India entity and support license management and other regulatory filings.
  • APAC Regional Support: as bandwidth permits, provide legal and secretarial assistance to other APAC entities, which may include supporting corporate governance matters, maintaining statutory records, coordinating with internal team members and external counsels.
  • Stakeholder collaboration and business partnership: work collaboratively with internal stakeholders from the business and global legal team, providing timely and practical legal and administrative support to facilitate strategic objectives.

What You Bring to the Role

  • Qualification: India Company Secretary – Associate Member of the Institute of Company Secretaries of India (ACS)
  • Highly desirable: Bachelor of Laws (LL.B.) degree
  • Experience: 3 to 5 years post-qualification experience in a similar role, preferably within a multinational corporation or reputable Indian corporate house
  • Demonstrated hands-on experience in handling end-to-end company secretarial functions for an Indian private limited company
  • Proven experience in providing legal support, including but not limited to reviewing and drafting contracts (e.g., NDAs, service agreements), managing corporate records, and conducting legal research and internal training sessions

Working Location : Koh Pha-ngan, Surat Thani

Available to start working on 5 January 2026.

Key Responsibilities:

  • Build Rental Management System.
  • Expense Records (Excel & Google Drives)
  • Invoices & Receipts (Google Drive & Wise)
  • Interface with BKK legal team for Accounting.
  • Service Walk-in customers.
  • Help to build & interface with customers regarding interior design packages.
  • Help to manage admin 2 Rai property in Madawan which has 2 villas on it: bills, maintenance and resident communications.
  • Interact with Tessaban regarding build permits etc.
  • Admin of bills for the offices: electric, internet, water etc.
  • Liaison with clients with contracts, sublease registrations at land office, yellow books and bank accounts.
  • Keep the office in order: Help organize filing cabinets, organize the office, keep office stocked & keep printer in good operation.
  • Work towards managing restaurant, spa & property in general.

Qualifications:

  • Thai Female
  • Bachelor's degree in Law, Business Administration, or related field.
  • At least 1–3 years of experience in legal or administrative support.
  • Good understanding of legal documents and business compliance.
  • Excellent organizational and multitasking skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management systems.
  • Strong communication skills in both Thai and English.
  • High sense of responsibility and confidentiality.
