Position Summary
The Student Services Assistant plays a key role in supporting the university's admissions and student services operations. This position is responsible for assisting prospective and current students throughout the admissions process, providing ongoing student services, and ensuring compliance with visa and immigration requirements. The role requires strong organizational, communication, and interpersonal skills to deliver excellent support and guidance to students, parents, and other stakeholders.
Key Responsibilities
1. Admissions Support
- Assist in managing the end-to-end admission process, including application processing, document verification, and communication with applicants.
- Coordinate entrance/placement tests, interviews, and related admission activities.
- Maintain accurate and up-to-date student admission records in the university's system.
- Provide timely updates to applicants regarding admission status, requirements, and next steps.
- Support admission-related events such as open days, information sessions, and orientation programs.
2. Student Services
- Provide front-line support and advice to students on academic procedures, policies, and general campus services.
- Coordinate orientation activities and help new students settle into university life.
- Address student inquiries and concerns promptly and professionally.
- Assist with student engagement activities, welfare programs, and support services.
3. Visa & Immigration Support
- Assist international students with visa application, extension, and renewal processes.
- Prepare and issue necessary visa-related documents (e.g., admission letters, visa support letters).
- Ensure compliance with government immigration rules and university policies.
- Maintain accurate visa records and report to relevant authorities when required.
- Provide guidance to students and parents regarding visa regulations and requirements.
4. Administrative Duties
- Prepare reports, letters, and other documentation as required by the department.
- Maintain student files, databases, and records in a secure and confidential manner.
- Collaborate with academic and administrative departments to provide seamless services.
- Support the Student Services Manager in other duties as assigned.
Qualifications and Requirements
- Bachelor's degree in International Relations, or related field.
- Previous experience in admissions, student services, or higher education administration is preferred.
- Knowledge of visa and immigration processes (especially student visa regulations) is an advantage.
- Strong communication skills in English (both written and spoken); proficiency in other languages is a plus.
- Excellent organizational and multitasking abilities.
- Proficiency in Microsoft Office / Google Workspace and student information systems.
- Customer-service oriented, with the ability to work effectively with students, parents, and colleagues.
